Privacy Policy

This Privacy Policy describes how Rivercrest Partners LLC ("Rivercrest Partners," "we," "us," or "our") handles information accessed through the Rivercrest AP Automation application (the "Application") in connection with our QuickBooks Online ("QBO") account.

1. Scope

The Application is an internal tool used solely by Rivercrest Partners to automate bookkeeping and accounts-payable workflows within our own QBO instance. It is not offered to, installed by, or used on behalf of any third party. The only QuickBooks Online account the Application connects to is the QBO account owned and operated by Rivercrest Partners.

Because the Application is not made available to outside users, this policy primarily describes how we treat data inside our own systems.

2. Information accessed through the Application

The Application may access, read, and write the following types of information held in our own QuickBooks Online account through Intuit's API:

  • Company profile and account settings.
  • Customer, vendor, and contact records.
  • Invoices, bills, payments, deposits, credit memos, and journal entries.
  • Items, services, and chart-of-accounts entries.
  • Class, project, and location tags used for cost allocation.
  • Attachments associated with the records above (for example, invoice PDFs and receipts).

The Application does not knowingly access personally identifiable information about consumers. Any personal information held in our QBO account (for example, employee or contractor names and contact details) is information we already hold as part of our normal business operations.

3. How we use the information

Information accessed through the Application is used solely for our own internal accounting, billing, vendor-payment, and financial-reporting purposes, including:

  • Coding incoming consultant and vendor bills to the correct client, project, and expense category.
  • Reconciling client deposits against outstanding invoices.
  • Tracking accounts-receivable and accounts-payable aging.
  • Generating internal financial reports.
  • Detecting and correcting bookkeeping errors.

We do not use this information for advertising, profiling, or any other purpose unrelated to operating Rivercrest Partners' business.

4. Sharing

We do not sell, rent, or share information accessed through the Application with third parties for marketing or advertising purposes. We may share specific records with the following categories of recipients in the ordinary course of business:

  • Our outside accountant (for tax preparation and review).
  • Our bank and payment-processing providers (to make and receive payments).
  • Service providers who help us operate our business (for example, document storage, secure email, and IT support), under written confidentiality and data-protection obligations.
  • Government authorities or other parties where required by law.

5. Retention

Information accessed through the Application is retained for as long as we retain the underlying records in QuickBooks Online, which is governed by our internal records-retention policy and applicable tax and accounting requirements. Data processed by the Application in transit (for example, in memory while reconciling a transaction) is not separately retained outside QuickBooks.

6. Security

We use reasonable administrative, technical, and physical safeguards to protect information accessed through the Application, including OAuth-based authentication to QuickBooks Online, encrypted transport (TLS), access controls, and limited access on a need-to-know basis. No system is perfectly secure, and we cannot guarantee absolute security.

7. Your rights

Because the Application is internal to Rivercrest Partners, this policy does not create separate rights for outside users. If you believe we hold information about you that you would like to access, correct, or delete, contact us using the details below and we will respond consistently with applicable law.

8. Changes to this policy

We may update this Privacy Policy from time to time. The "Effective date" above will reflect the most recent update.
